KBACE offers a proactive, well documented process to get you through Open Enrollment, from early communication to your employee population and proactive requirements gathering, all the way through to configuration support before, during, and after your Open Enrollment (OE) period.
The tasks below for Open Enrollment are a sampling of the items that will be covered. Open Enrollment preparation can be broken down into three phases.
Phase 1: Pre-Open Enrollment Procedures
- Check payroll calendars
- Sample Timeline of Open Life Event Processing
- Assess and Modify Derived Factors and Eligibility
- End existing plans that are no longer offered
- Add new plans
- Modify rates and premiums on existing plans
- Start new coverage for Flexible Spending Accounts (FSA)
- Run Mock Open Enrollment and Check Errors
- Create and maintain test plan
- Modify any existing plans, events or rules that are not compatible with existing or new benefit rules
Phase 2: Open Enrollment Procedures
- Process the Open Life Event
- Check for Errors and resolve
- Default Enrollment Process
- Close the Open Life Event
Phase 3: Post-Open Enrollment Procedures
- Verify new plans, check defaults and automatics
- Investigate Incorrect Elections
- Resolve Action items
- Participation Overrides (for Eligibility)
