Go Green with Paperless HR from KBACE

Paperless HR and Beyond

Download the PDF overview

Ever since HR moved from the manila folder to the mainframe, organizations have been trying to reach the goal of a "paperless" HR department. The quest to remove all paper from the HR business, while a noble endeavor, has created a whole new set of issues as information becomes "trapped" in spreadsheets and Word documents. While this information is not on "paper" per se (until the user hits the print button), it is almost as useless to the organization at large.

Pieces of data that are trapped on electronic pages are still just as difficult to find, secure, and report on. KBACE is dedicated to working with our customers on ways to garner greater utilization from their HR systems, eliminating the use of paper, while at the same time keeping their data accessible, reportable, and secure.

KBACE has the ability to not only show you how to eliminate paper from your business processes, but also goes beyond that to give you concrete examples of how to utilize the Oracle E-Business Suite to manage and secure the data that often remains locked away in a filing cabinet or on some hard drive.

Why Paperless?

Why go through the process of reducing the use of paper in your Human Resources department? The answer may include more than you expect. Of course, there is the cost of material, storage, mailing, and filing, but what about the cost of not being able to find a certain document when you need it? It could be an Employee Action Form, a new hire's paperwork, or the Policy & Procedures manual that tells you how to process an involuntary termination and stay in within compliance. What about the cost of reprinting all of the training material, employee handbooks, and reports? Even Payroll has its own mountain of paper, including pay slips, tax forms, timesheets, and payroll registers.

The first step in the transition from paper is to take a look at each of your business processes and identify where paper is still involved in the process. Here are some common areas to start investigating:

  • Recruitment
  • On-Boarding
  • Training
  • Performance Reviews
  • Employee Action Forms
  • Payroll
  • Employee Communications
  • Reporting
